Dedicated Email Sending Domains Overview & Setup

Using a dedicated sending domain allows you to control the appearance of your email communications, ensuring they seem like they’re coming directly from your business. This helps you avoid spam filters and other problems that could prevent your emails from reaching their intended recipients.

IMPORTANT: Dedicated sending domains are available only for users within the LC Email system.

If you’re using a new domain that has never been utilized for email, ensure you warm up the domain before sending to a large list. Failing to do so may result in poor deliverability.

What is a Dedicated Sending Domain?

A dedicated sending domain enables you to send emails that appear as though they’re coming directly from your brand, helping to enhance your reputation with email providers. This ensures your emails are associated with your business, rather than a third-party service. Any sub-account or agency can set up a dedicated sending domain, and the process is quick and simple.

By default, emails sent from our platform will display the name of our email-sending servers in the “sent on behalf of” or “sent via” headers. However, by using a dedicated sending domain, you can ensure that your brand name appears in these headers instead, providing more credibility and control over your email communication.

Configuring Dedicated Sending Domains

You can create multiple sending domains within your account, which allows you to use different domains for various types of email-sending activities. For example, you can designate separate domains for 1-to-1 emails, emails sent from workflows, marketing campaign emails, and even payment and invoice emails. This gives you greater flexibility in managing your email communication and ensures that each email type is sent from a trusted domain. By doing so, you improve your deliverability rates, maintain brand consistency, and can effectively segment your email campaigns for better results.

Step 1: Go to Email Services

Head to Settings > Email Services

Then, click on the “Dedicated Domain and IP” button.

Step 2: Enter Domain Details

Click on the “Add Domain” button to start setting up your sending domain.

Provide the sub-domain you wish to use for your dedicated sending domain.

Note: A sub-domain is a variation of your main domain.

For example, if your root domain is “agency123.com,” you could create sub-domains like “emails.agency123.com” or “no-reply.agency123.com” to use for different communication or marketing campaigns.

You can create as many sub-domains as needed by adding unique prefixes to your root domain, and then configuring the DNS records within your hosting provider’s settings.

Step 3: Verify DNS Records

After adding your sub-domain, the next step is to verify your DNS records. You can choose to have VisionaryX automatically configure your DNS records, or you can manually enter them.

If VisionaryX is unable to auto-configure your DNS records, you will need to add them manually.

Note: The DNS propagation process can take up to 24 hours. If more than 24 hours have passed, double-check your DNS settings by following the process outlined above.

Manually Adding DNS Records

To manually add your DNS records, you will need to create them in your hosting provider’s dashboard, where you manage your domains. VisionaryX will provide you with specific information (such as the details seen in the screenshot below) that you can use to create your DNS records.

Troubleshooting Dedicated Sending Domains

While setting up your dedicated sending domains, you may encounter some issues that can be resolved without reaching out to the VisionaryX support team. Below are some common problems that users face when configuring their dedicated sending domains.

Error Message: ‘Domain already pointing to email server!’

If you see an error message stating that your domain is already pointing to an email server, it means that your email domain has existing DNS records connected to another service. In order to connect it to your VisionaryX account, you need to disconnect these existing DNS records.

Any MX or SPF records, even if they are VisionaryX records, can cause the system to reject the domain. These records must be removed before proceeding.

You can check your domain’s MX and SPF records using various online tools. One helpful tool is the free MX and SPF lookup service available at: MXToolbox.

Q: How Do I Choose a Sending Domain Name for My Account?
It’s recommended to use a unique subdomain that isn’t used for any other purpose. A subdomain is a secondary part of your root domain. For example, if your dedicated sending domain is hello@mg.yourbrand.com, the subdomain would be the “mg” part of that address.

Q: What Should I Do If Some of My Domain’s DNS Records Are Not Verified Yet?
You will need to manually trigger the verification process. If the DNS records still aren’t verified after doing this, you may need to resolve the issue by contacting your hosting provider.

Q: How Do I Generate an SSL Certificate for Dedicated Sending Domains?
When your domain is verified, the SSL certificate should be automatically generated. If the domain shows as verified but does not have an SSL certificate, try re-verifying it by going through the verification process again. If that doesn’t work, contact your hosting provider to check for issues with your domain or to help generate the SSL certificate.
